Transfer gas leak emergency calls to central dispatch and customer calls to the call center.  Greet and process visitors and guests courteously and helpfully in a timely manner.  Ensure that all visitors, guests, contractors, and Unitil employees (from other reporting locations) sign in and out as part of Unitil’s emergency building evacuation procedures.  Escalate agitated customer calls and walk ins when necessary.</P><P>60%<SPAN style="white-space: pre">    <BR/></SPAN>Provide efficient and professional Administrative Support services including but not limited to; </P><UL><LI>Processing and sorting incoming mail and packages from various internal and external carriers.  Preparation of overnight letter size packages as needed.</LI><LI>Maintain up-to-date rosters as employees, temps and contractors are hired, transferred or terminated. </LI><LI>TED:  Maintain all phone number information (ext., cell &amp; pager) in The Employee Database for entire Unitil System. </LI><LI>Phone Extension Lists: Maintain separate phone rosters for each location posted on WebOps. </LI><LI>Building Evacuation:  Maintain the emergency building evacuation roster.</LI><LI>Initiate annual purchase orders as requested.</LI><LI>Monthly invoice payment processing on blanket POs.</LI><LI>Monthly reconciliation of Shared Services invoices including; overnight mail (UPS &amp; FedEx), enterprise teleconference services. </LI><LI>Word processing, spreadsheet &amp; database creation and updating as assigned.</LI><LI>Maintain up-to-date Receptionist procedures, work practices and protocols with keen attention to detail and understanding of all procedures and protocols that impact Unitil’s customers.</LI><LI>Schedule Conference Rooms as requested utilizing company CORRS application.</LI></UL>15%<BR/>Other duties and special projects as assigned by Supervisor and Manager in order to support all Internal and External Unitil Customers.  <BR/><P><STRONG>Qualifications:</STRONG></P><UL><LI>Associates degree or equivalent preferred.  High School diploma or GED required.</LI><LI>Minimum of two (2) years’ experience in a business environment preferred.   </LI><LI>Must possess excellent organizational and problem solving skills.</LI><LI>Excellent written and verbal communication skills.</LI><LI>Demonstrated reliability and flexibility.</LI><LI>Proficient PC skills including;  MS Word, MS Excel, MS Outlook, MS Power Point, Acrobat, MS SharePoint and other desktop software.   </LI><LI>Must be available to work extended hours as assigned, possibly at secondary locations, in response to System emergencies.     </LI></UL><P>Unitil is an Affirmative Action/Equal Opportunity Employer.  All qualified applicants will receive consideration for employment without regard to sex, gender identity, sexual orientation, race, color, religion, national origin, disability, protected veteran status, age, or any other characteristic protected by law.</P><P><STRONG>Updated: 8-7-24</STRONG></P><P> </P><P><BR/><BR/></P>
