COYOTE RIDGE CORRECTIONS CENTER (CRCC) is located on a 60-acre site about 40 miles north of the Tri-Cities. CRCC is comprised of two-complexes. The Medium Security Complex (MSC) is a 2,048 bed facility that houses Incarcerated Individuals (I/I) with Medium and MI3 Custody. MSC consists of 4 Hybrid units and 4 Medium units. The Minimum Security Unit (MSU) is a 480 bed facility that houses assisted living and MI2 Custody I/I. MSU consists of 2 units. This is a work/program orientated facility that offers many educational, vocational, and self-help programs and Class II and Class III Correctional Industries work programs. Duties This position provides administrative and clerical support for the Correctional Captain and other departments be providing the highest quality products and services, meeting the needs of the institution while effectively utilizing the resources provided in the most efficient manner in support of the Department of Corrections mission. The duties include, but are not limited to: Attend meetings on behalf of Supervisor(s) or work group; represents supervisor or work group supervisor's absence and relay messages and instructions from the supervisor(s) to other. Relay messages and instructions from the Captain and other staff, relay assignments, request status information, call attention to deadlines and obtain progress reports. Clarify operational memorandums, policies, procedures, processes, and materials to clarify or explain expectation and compliance standards to staff members. When applicable, log and assign Incident Reports to appropriate department managers and supervisors for follow-up fact finding investigation. Follow up with assigned staff to ensure timely completion. Forward completed investigation reports to the Duty Group. Create packets for Use of Restraint and Use of Force complaints for review by the Captain and subsequent distribution to the Associate Superintendent of Custody and Operations. Assign, monitor, and track Use of Force and Use of Restraints investigations and packets. Ensures the functions of the Captain's office are occurring timely and accurately. Collects data of Searches, Security Inspections, Post Orders/Operational Manuals reviews, and Tool Control for the Captain's monthly security report. Maintain necessary logs tracking incoming documentation, to include but not limited to, Incident Reports, correspondence, etc. Track and consolidate data for risk assessment strategies. Provide research and data for the composition of reports or special projects. Perform confidential administrative secretarial and office management functions for the Captain and management staff. Manage the Captain's calendar to include making appointments and meetings. Compile appropriate reports and correspondence as requested by Captain. Type a variety of written and dictated material to include letters, reports, memorandums, etc. Ensure final type structure and clarity are of high quality and content meets policy requirements. Screen emails and correspondence for the Captain during absences. Compile forms for the Captain's review. Updates forms utilized by the Captain's office in response to changes in policies. Make travel and lodging arrangements for the Captain, and prepare the Travel Authorization and Travel Expense Vouchers for the Captain and other custody staff. Maintain updated travel regulation file. Compose requests and justifications for approval of out-of-state travel. Process travel expense reimbursements for the Captain and other custody staff. Provide secretarial assistance as needed to other supervisors upon request. Retain and archival office documents as appropriate. Respond to Public Disclosure Requests. Coordinate personnel issues for the Captain's office such as recruitment, selection, reference checks, appointments, and promotions. Attend staff meetings, record and transcribe meeting minutes. This entails preparing agendas for the meetings. Respond to Captain's kiosk messages. Perform other duties as assigned. Participate on special projects, event committees, audits, and recognition events as requested. Access and copy data to DVD's when needed. Recorder for emergency response incidents. Perform LID Coordinator and NCIC background check functions. Order supplies and maintain inventory. Qualifications Required Qualifications: High school graduation or GED and three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work. Formal education will substitute year-for-year for experience. Ability to organize and maintain archives. Demonstrated knowledge and proficiency with basic computer programs including, but not limited to MS Outlook, Word, Excel, Access, and Power Point. Demonstrated ability to write clearly, factually, concisely and grammatically correctly. Ability to provide clear, concise, and consistent verbal communication with staff and offenders through resources available.
