Penick Village Continuing Care Life Planning community is seeking an experienced, organized and efficient Staffing Coordinator to join our Healthcare team. The primary role of the Staffing Coordinator team member is to carry out the day-to-day staffing of the Nursing Department in accordance with our established budget and applicable state and federal regulations. This role also includes maintaining department supplies to ensure the department meet the needs of residents. Purpose of Job Position: The primary purpose of the Staffing Coordinator position is to be responsible for the day-to-day staffing of the Healthcare Department in accordance with our established budget and applicable state and federal regulations. The Staffing Coordinator will also maintain the necessary supplies in accordance with our established budget to meet the needs of residents. Job Duties and Responsibilities: Every effort has been made to make your job description as complete as possible. Administration Functions Report all accident/incidents you observe on the shift that they occur. Using master schedule, complete daily staffing sheets with personnel assigned to each position and unit. Utilizing staffing quotas given by Director of Nursing, ascertain need for additional staff. Post availabilities at least two weeks in advance and telephone part time / PRN personnel with availabilities. With the approval of Healthcare Administrator/Director of Nursing, call PRN agencies with list of staffing needs. May have to take calls after hours and or weekends to assist with staffing needs. Update daily staffing sheets with names of additional personnel as staffing changes occur. Alert Director of Nursing /designee of staff shortages. Refer personnel phone calls to Healthcare Administrator/Director of Nursing as necessary. Each day, will place staffing schedule for the next day at nurse's stations prior to leaving (copy to Director of Nursing, RN Supervisor, Residential Coordinator & Healthcare Administrator). Place staffing sheets for Saturday, Sunday and Monday at nursing stations prior to leaving for weekend (copy to Director of Nursing, RN Supervisor, and Residential Coordinator & Healthcare Administrator). Make sure nurses complete census sheets each shift on a daily basis and file in office. Assist with specific audits as requested by Healthcare Administrator/Director of Nursing. Submit payroll as required by Payroll Specialist. Input leave and time clock exceptions in iSolved system. Schedules MUST be completed prior to time off or before you leave for the day/weekend Personnel Functions: Perform all assigned tasks in accordance with our established policies and procedures, and as instructed by your supervisors. Report all complaints and grievance made by resident. Cooperate with inter-departmental personnel, as well as other facility personnel to assure that nursing services can be adequately maintained to meet the needs of residents. Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the facility. Mentor CNA's on a regular basis to ensure highest level of care standards are being met. Follow up with all new hires to ensure proper training. Staff Development: Attend and participate in scheduled training and educational classes. Track employee tardiness, absences and other attendance pattern, notifying Healthcare Administrator of individuals that are not adhering to Attendance P & P. Complete process involving timecards and weekly payroll allowing Director of Nursing to review and sign. Track PRN staff schedule status and inform DON and Healthcare Administrator of any issues. Supply Orders, Inventory & Billing: Stock resident's rooms with necessary supplies biweekly. Barcode scanning for ordering and billing process of supplies. Invoice coding for business office Fax medical supply inventory sheets weekly to maintain billing and stock. Maintain PAR levels of supplies. Coordinate deliveries with vendors and make modifications, as needed, to improve efficiency. Job Standards: Must be able to work well with the senior population. Must be flexible enough to carry out job duties. Must express a positive attitude and excellent communication skills. Must demonstrate insight, leadership skills and tact. Must be able to manage time well and make decisions concerning priority. Must establish and maintain good working relationships with all team members. Educational Requirements and Qualifications: Certified Nursing Assistant certification preferred. Must be able to read, write, speak, and understand the English language. Must possess the ability to make independent decisions when circumstances warrant such action. Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public. Must possess the ability and willingness to work well with professional and non-professional personnel. Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult situations. Must function independently and have flexibility, personal integrity, and the ability to work effectively with residents, personnel, and support agencies. Must be in good general health and demonstrate emotional stability. 3 or more years of experience in Healthcare or Home Care scheduling. Work Shift: Days - Monday through Friday 8:00 a.m. - 5:00 p.m. occasional evenings and weekends may be required. Job Type: Full-time
