Overview
The Secretary to the CEO provides high-level administrative support to the Chief Executive Officer of NEXTASIA Land Inc., ensuring smooth operations in a fast-paced and dynamic environment. The role requires exceptional organizational skills, a keen sense of confidentiality, and the ability to manage multiple tasks while maintaining excellent communication and professionalism.
Key Responsibilities
- Executive Support:
- Manage the CEO’s daily calendar, including scheduling meetings, appointments, and travel arrangements.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Prepare and organize briefing materials, reports, and presentations for meetings.
- Attend executive meetings to record minutes, follow up on action items, and ensure the timely execution of tasks.
- Administrative Tasks:
- Draft, review, and manage confidential correspondence, communications, and other documents.
- Organize and maintain physical and digital filing systems for efficient document retrieval.
- Handle expense reports, reimbursements, and budget tracking for the CEO’s office.
- Communication Management:
- Screen and prioritize phone calls, emails, and other communications directed to the CEO.
- Act as a liaison between the CEO and other executives, managers, and employees to ensure smooth communication.
- Project Management Support:
- Assist the CEO in coordinating cross-functional projects and company-wide initiatives.
- Track project timelines and milestones, ensuring the CEO is updated regularly on progress.
- Event Coordination:
- Support in planning and coordinating executive-level events, including board meetings, company-wide celebrations, and client engagements.
- Organize and assist with special events involving the CEO, such as speaking engagements, press conferences, and industry meetings.
- Stakeholder Relations:
- Handle sensitive relationships with key external partners, investors, government officials, and other high-profile stakeholders.
- Arrange meetings and communications between the CEO and external contacts.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- At least 5 years of experience as an Executive Assistant or Secretary to senior leadership, preferably in real estate or corporate settings.
- Excellent written and verbal communication skills in English and Filipino.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Ability to handle confidential information with discretion.
- Strong interpersonal skills, professional demeanor, and ability to work under pressure.
- Experience in event coordination and project management is an advantage.
