JOB DESCRIPTION:
Remote / Virtual Assistant
Receptionist and Administrative Staff
We are seeking a friendly and professional Remote Receptionist and a detail-oriented and efficient Remote Administrative Staff to join our team. As the first point of contact for our clients, you will play a vital role in creating a welcoming virtual environment and ensuring the smooth operation of our front desk. This role also requires excellent organisational skills and the ability to handle various administrative duties from a remote location. A background in the National Disability Insurance Scheme (NDIS) is a plus.
The ideal candidate will have excellent attention to detail and a passion for helping people, especially when dealing with Australian customers remotely
Responsibilities:
● Manage day-to-day administrative tasks, including filing and data entry
● Assist in the preparation and submission of reports and documentation.
● Organize and schedule meetings and appointments
● Design and format documents, forms, and presentations to meet company standards.
● Ensure all documents are professionally presented and align with branding guidelines.
● Answer, screen, and forward incoming phone calls in a courteous and efficient manner using VoIP or similar technologies.
● Provide basic and accurate information via phone/email.
● Handle customer inquiries and complaints with professionalism and patience.
● Collaborate with other staff to ensure clients' needs are met efficiently.
● Email monitoring and organising
● Ensure all details and information that is entered into the database is current and accurate
Requirements
QUALIFICATIONS/JOB REQUIREMENTS:
● Proven work experience as an administrative or receptionist role.
● Experience working with Australian customers is essential.
● Prior experience in the NDIS sector is a strong advantage.
● Proficiency in Microsoft Office Suite and virtual communication tools (e.g., Zoom, Microsoft Teams).
● Solid written and verbal communication skills.
● Ability to be resourceful and proactive when issues arise.
● Excellent organisational skills and attention to detail.
● Multitasking and time-management skills, with the ability to prioritise tasks.
● Customer service attitude.
