As Clinic Administrator, you will be an integral part of a collaborative team focused on delivering seamless services and programs to our clients and customers. If you are looking for a company that is constantly moving forward in pursuit of successful outcomes, get ready to love it here!
What you’ll be doing: - Manage the flow of client appointments to protect confidentiality and overcrowding
- Manage switchboard and route incoming calls efficiently
- Coordinate and delegate office space for clinicians, visiting staff members and clients
- Ensure security and effective transfer of client files
- Organize clinical schedules and inform clinicians of identified changes
- Resolve scheduling errors and assist with rebooking clients
- Send office memos, including property management information when required
- Maintain office and kitchen supplies
- Liaise with building maintenance and suppliers/vendors
- Obtain billing information from self-pay clients, create invoices and payment agreements, process payment and issue receipts to clients
- Track and record client attendance for evening groups
- Prepare and distribute weekly, monthly and ad-hoc reporting
- Assist with special projects related to clients or staff
What we’re looking for: - Minimum 2 years’ experience in a professional office and customer service environment
- Experience with Word, Excel and PowerPoint and comfortable using other technical platforms
- Post-secondary education and courses in psychology and/or business administration would be an asset
- Strong organizational and time management skills
- Excellent verbal and written English communication skills; French would be an asset
