Job Description
Are you passionate about event operations and customer service? Do you thrive in a fast-paced environment where no two days are the same? Melbourne Showgrounds is seeking a dynamic and detail-oriented Venue Operations Coordinator to ensure the seamless execution of events and maintain the high standards of our venue.
As a Venue Operations Coordinator, you will be at the heart of Melbourne Showgrounds' operations, both during events and non-event periods. This role is pivotal in providing high-level customer service and operational support to our clients, and you will often be the primary point of contact onsite. You’ll supervise operational, casual, and contract staff on an event-by-event basis, ensuring everything runs smoothly.
This role requires flexibility to work on a fortnightly rotating roster, with shifts scheduled across the span of hours from 7:00 AM to 7:00 PM, including weekends. This ensures that our venue operations are effectively supported throughout the week.
Key responsibilities:
General Operations
• Collaborate with sales and event planning teams to manage all operational aspects of event delivery, including plant and equipment, traffic management, and car parking.
• Execute event setup according to client specifications, ensuring venues are ready with the correct furniture and equipment.
• Ensure all venue facilities are prepared and available for clients, and address any risk, maintenance, or safety issues.
• Coordinate and manage day-to-day activities at the venue, including site presentation and maintenance.
• Liaise with the facility management team to communicate and address maintenance issues promptly.
• Supervise and coordinate casual and contract staff as required.
Onsite Event Management
• Act as the primary contact for clients during events, ensuring smooth communication between clients and suppliers.
• Oversee the delivery of events, maintaining high standards and ensuring safety protocols are followed.
• Manage event suppliers, including cleaning, security, catering, and equipment hire.
• Provide excellent customer service, fostering strong relationships with clients through regular check-ins and prompt issue resolution.
• Complete and manage event documentation, including shift reports, debriefs, and incident reports.
Desired Skills and Experience
What are we looking for?
• Proven experience in operations or logistics, ideally within an events environment.
• A valid Driver’s Licence and Forklift Licence are essential.
• Flexibility to work varying hours, including early mornings, evenings, weekends, and additional hours during events.
• Fire Warden and First Aid Level 2 certification (or willingness to obtain).
• Strong interpersonal skills, with the ability to build relationships, influence, and negotiate with a range of stakeholders.
• Demonstrated customer service excellence, with a collaborative and solution-oriented approach.
• Sound judgment, problem-solving, and decision-making abilities.
• Proficiency in Microsoft Office applications and experience in office administration.
• Strong organisational skills, with the ability to multitask and meet tight deadlines.
• Knowledge of workplace health and safety legislation and emergency management procedures is highly desirable.
• A proactive attitude, with the ability to perform under pressure in a busy environment.
• High work ethic, integrity, and a commitment to continuous improvement.

• National Police Check.
• Availability to work all 11 days of the Melbourne Royal Show.
