Job Description:
McDonald’s is looking for an experienced Executive Assistant to support Leadership within the Global business function. You will need to have significant experience supporting executives within a large global business, be flexible with working hours, and be comfortable working across different locations and time zones.
What will my key accountabilities be?
Delivering first-class Executive support by:
- Performing extensive global travel arrangements for leaders (including arranging visas if necessary).
- General meeting preparation and coordination - ensuring that information cadence is consistent, relevant, timely, and efficient, and that your Exec has the materials they need.
- Planning and organisation of meetings globally including all logistical aspects such as venue search and booking, issuing invitations, and tracking acceptances, budget control.
- Preparing and submitting expenses using the company expense system ahead of credit card payment due dates.
- Instilling a proactive approach to administrative support.
- Acting as the first point of contact and central information point.
- Preparing and collating documentation as and when required.
- Managing and maintaining the team contact and email distribution lists.
- Preparing boardroom/meeting rooms for meetings to include video conferencing, refreshments, etc.
- Building strong relationships with stakeholders, internally and externally.
- Maintaining and building relationships with the EA Community, Office Management in Shoreditch, MHQ, and market offices.
Qualifications:
- Knowledge of MS Office - Word, Excel, and PowerPoint.
- Required to use own initiative and be a driven self-starter.
- Demonstrate a flexible and organised way of working; the candidate will need to consider different time zones, remote teams, and changing deadlines.
- Exemplary professional conduct, communication, and writing skills.
- Discretion, confidentiality, and sensitivity to handle personal/business information.
- Ability to be in the Shoreditch office 2-3 days a week at a minimum to be on hand to support leadership needs (or whenever the Exec is present in the office).
- Must be organised, motivated, and detail-oriented with superior follow-through.
- Aptitude to juggle multiple projects and meet deadlines.
- Ability to communicate at all levels of the organisation.
