Production Coordinator, Editorial
Reporting of the Role:
This role reports to Deputy Head of Video Operations.
Overview of job:
The video team at Global produces visual content for our award-winning brands via our websites, apps, social channels, and commissions to other platforms. We are looking for a Production Coordinator to work with our team of producers and editors as a key point of contact within the production management team.
You'll be working primarily with the Editorial Video department, so you'll be a great communicator with outstanding diligence and excellent organisational skills. You will be responsible for the successful execution of our productions and ensuring that deadlines and logistics are met for shoots and edits. You'll also be comfortable working with complex budgets and coordinating multiple ongoing shoots.

Responsibilities of the role:
- Assisting in creating and tracking budgets across the department.
- Hiring and negotiating with freelancers and suppliers.
- Scheduling freelancers and crew.
- Updating budgets and cost tracking using Excel.
- Finalising budgets and completing the post-production processes with producers.
- Working across live programs and events.
- Onboarding freelancers for payment via third-party vendors.
- Ensuring successful reconciliations and managing team expenses.
- Overseeing the organisation of shoots, with support from video production assistants.
- Ensuring the safe execution of production with onsite attendance.
- Ensuring global standards are met for risk assessments and creating call sheets.
- Serving as a point of contact for Editorial operations.
- Briefing and delegating tasks to production assistants with a coaching management style.
- Collaborating with wider Global departments, including finance, P&C, and Legal, to ensure Global processes and policies are understood and followed by the Editorial team.
- Leading kickoff and launch meetings for new productions.
- Keeping a record of external agencies and production companies, ensuring that records such as contracts, key contacts, and talent agreements/release forms are properly documented, tracked, and adhered to.
- Using project management tools (including Float, Planner, Trello) to maintain an up-to-date schedule of productions from pitch to delivery, including timelines, key milestones, and deliverables, ensuring these are adhered to, anticipating issues/clashes, and offering solutions to mitigate them.
What you will need:
The ideal candidate will be proactive and eager to develop and implement innovative solutions, demonstrating the following qualities:
- Excellent computer skills with a strong understanding of Microsoft Office, particularly Excel.
- Strong communication skills, with a passion for fostering and contributing to a collaborative and open environment within your team, the wider business, and with external stakeholders.
- Knowledge and experience using project management tools such as Trello, Asana, Float, and Planner.
- The ability to work effectively both as part of a team and independently.
- Initiative, flexibility, adaptability, common sense, and problem-solving skills.
- Strong administrative and organisational skills.
- A good understanding of copyright, music clearance, MCS, and release forms.
- The ability to prioritise and handle last-minute changes.
- A minimum of one production coordinator credit.
