An exciting opportunity has come up to join our team of Solicitors. We are looking for a dynamic, highly organised Office Administrator to handle the day-to-day running of the office, and to support our solicitors with new and existing client enquiries and document management.
Key Tasks
The Office Administrator role is varied and we are seeking someone who can prioritise tasks as they arise and feels comfortable working to tight deadlines. Typical tasks include, but are not limited to:
- Day-to-day office management including stationery orders, third-party contract management, and management of IT and office equipment
- Central diary and office database management
- Maintaining a central record of documents and assisting in preparation for review, compliance, and audit requirements
- Handling new client enquiries and confirming details of information provided by relevant professionals
- Client documentation management including delivery, recording, storage, archiving systems, and destruction of files
- Assisting solicitors with case management system data entry
- Maintenance of HR records including annual leave, sickness, and liaising with the Finance Clerk on end-of-month payroll
- Assisting with recruitment including posting advertisements, monitoring applications, shortlisting candidates, and arranging interviews
- Assisting in the conduct of new staff inductions and activating IT systems for new starters
- Booking training courses and liaising with supervisors on training needs
- Assisting with data entry for purchases and invoicing on software
- Assisting with monthly billing matters
- Overseeing the renewal of insurances, practicing certificates, subscriptions and memberships
Essential Qualities
- Organisation, ability to prioritise tasks, attention to detail and accuracy
- Diligence in data entry and record keeping
- An ability to deal with challenging callers in a calm and appropriate manner
- A can-do attitude and willingness to help out where needed
- IT literate with excellent typing skills, familiar with Microsoft Excel and an ability to master different software systems quickly
- Need a high level of written and spoken English.
Location, Hours, Pay and Benefits
- The successful candidate will be based in our Fleet Street (City of London) office
- Monday to Friday: 9:00 am to 5:00 pm
- From £24,000 per annum depending on experience.
