The Administrative Officer is responsible for managing daily administrative operations of the Manila office. This role involves a wide range of responsibilities including general office management, purchasing of equipment, services, and supplies, and handling or delegating routine financial and HR tasks. The ideal candidate is highly organized, proficient in multitasking, and possesses strong communication skills.
**This is a day shift position with a daily on-site requirement**
Essential Functions : (The reason this job exists is to perform these functions. These functions are performed regularly, seriously impacts other jobs, and there are a limited number of employees whose performance of the function can be distributed.)
Oversee and support all administrative duties in the office. Support internal customers including but not limited to logistics of assets (IT) and regulatory and statutory requirements (HR and Accounting). Maintain monitoring and progress reports of all administrative and support duties. Oversee the overall procurement process from internal requests to the actual delivery. Maintain and promote a high level of communication and liaison with external suppliers. Source and coordinate with vendors for better quality products/items as well as better prices. Create purchase orders and serve as the main contact person with all vendors. Ensure on-time delivery of all purchases made. Maintain a complete and updated purchasing record/data and pricing in the system. Prepares and review purchase requisitions and orders for accuracy and ensures compliance with the Company’s policies and procedures. Perform all other duties and or projects as assigned by a manager.

Education/Certification:
College graduate.
Experience Required:
Minimum of 3-4 years of experience in an Administrative Officer, Administrator, or equivalent role. Previous experience working in a Business Process Outsourcing (BPO) environment is preferred. Exceptional organizational skills coupled with a proactive problem-solving attitude. Excellent proficiency in both written and verbal communication. Meticulous attention to detail and a commitment to achieving high levels of accuracy. Proficient in Microsoft Office and other relevant office management software. Proficient in multitasking and effectively managing multiple projects simultaneously. Agile and adaptable, with a proven ability to respond swiftly to changes in a dynamic environment. Skilled in prioritizing tasks and executing responsibilities with minimal supervision.
