Industry: E-commerce
This is a new role working in the ecommerce arm of the company. This consists of 7 ecommerce sites across 6 countries, managed by one central team. You will have a pivotal role within the team and be working directly with the directors. Because of the importance of this role we are looking for someone who is organised, has previous experience in business administration and can work alongside the senior management team to ensure they are as efficient as possible.
As this is a new role, you will also be responsible for outlining and building some of the operation playbooks working with the team to build out our documentation and standard business practices.
For example we need to standardise travel policies, expense process and onboarding for new team members to help make sure the team runs smoothly and without delays.
Your role is to assist the wider team in personal, logistic and business administration. This is to help relieve the team of some of their day to day administrative workload so they can focus on their specific role.
Responsibility includes but not limited to:
Travel
- Travel logistics, working out the best routes, timings and when to travel.
- Hotel reservations
- Flights
- Taxis
- Meals / dinner reservations
Finance
- Recording monthly expenses
- Finance tracker
Business Admin
- Onboarding new starters
- Ensuring paperwork has been completed and returned
- Organising new email address’
- Organising access to platforms (magneto/ bamboo/ emails etc.)
- User access to Magento (remove from web admin)
- Password management
- Gatekeeper for site access and admin
Meetings
- Booking meeting rooms where applicable
- Minute taking / distribution
Qualifications
- At least 3 - 5 years (and up) relevant work experience/s as a Business Administrator Officer
- Excellent communication & organisation skills
- Strong proficiency in Microsoft Office and Google Suite
- Proficient in travel management/arrangements (E.g. hotel reservations, booking flights, and arranging transport/logistics)
- Proficient in handling/managing business finances
- Proficient in onboarding of new starters and setting-up their relevant business accounts
- Proficient in booking meeting rooms and taking/distributing minutes of the meeting
- A strong work ethic with an appetite to learn, cultivate relationships & assist in whatever way best serves the business.
