Job Description
As a Virtual Admin Assistant/Receptionist, you’ll be the first point of contact for clients, managing all communications across multiple channels. You’ll dive into the exciting world of CRM management, automated messaging, and cutting-edge office tools. You’ll work directly with the company owners, playing a crucial role in streamlining operations and enhancing customer experiences. Responsibilities
- Manage incoming and outgoing communications via phone, email, and text
- Create and maintain client accounts, job requests, and invoices using Jobber CRM
- Attach job reports and photos to invoices using specialized software
- Schedule and confirm appointments, following up with customers
- Maintain and update customer and lead information in spreadsheets
- Operate automated messaging systems for efficient customer follow-ups
- Liaise with company owners regarding daily operations
- Adapt communication style to maintain a friendly, professional tone while following provided scripts
Requirements
- Excellent verbal and written English communication skills
- Proficiency in CRM systems (Jobber experience a plus, but training provided)
- Familiarity with communication tools like Open Phone and Danzo
- Strong multitasking abilities and attention to detail
- Friendly, professional demeanor with a natural phone manner
- Adaptability in communication style to match company preferences
- Basic spreadsheet management skills
- Eagerness to learn and use various software tools
- Ability to work independently in a virtual environment
