POSITION OVERVIEW
The Coordinator, Compliance & Ethics reports directly to the Vice President & Chief Compliance and Ethics Officer and has operational support responsibilities across the Compliance & Ethics department; Compliance & Ethics, Training, and Information Management, as well as providing high level administrative support.
RESPONSIBILITIES AND ESSENTIAL DUTIES
Provide operational support to the Compliance and Ethics department at the Corporate offices to include:
- Organizing and coordinating Compliance & Ethics activities with minimal direction and serves as the team point of contact.
- Actively manages relationships with third party administrators, including: requesting proposals and quotes from vendors to ensure company supply chain processes are followed. Works with the Training, Compliance, and Information Management, to ensure all external providers are approved before coming to the site.
- Performs duties and responsibilities described above along with additional tasks that may be assigned to the employee from time to time by the VP and Chief Compliance and Ethics Officer; or the scope of the job may change as necessitated by business demands.
- Reviews existing processes and procedures and make recommendations to address or improve them.
- Responsible for collecting data for and compiling management reports required for internal and external use, including budgets and forecasts, purchase orders, accounts payable summary reports, organization charts, compliance training records, and project status reports.
- Coordinates and ensures effective and efficient team meeting scheduling, managing meeting cadence, and performing other logistical work including administrative work as necessary across all areas of the Compliance & Ethics team.
- Builds relationships across all units and departments.
- In coordination with the VP, Compliance & Ethics, and other leadership team members, ensures meeting action items are distributed and accounted for with the necessary function within Compliance & Ethics.
- Handles issues with a high degree of confidentiality and accuracy.
- Acts with good judgment and is a team player with the ability to meet deadlines.
- Performs off-site errands in support of departmental tasks, as needed.
KNOWLEDGE AND SKILLS:
Knowledge:
This position requires broad understanding of the organization, functions, roles and responsibilities, and will also require interfacing with company personnel and others as required. Working knowledge of document control concepts, handling procedures, and technology (software/programs, and office equipment).
Skills:
- Effectively communicate with various levels of leadership across the Compliance & Ethics team, Ability to identify inefficiencies in processes and/or procedures and proactively make recommendations to address them.
- The ability to effectively multitask, i.e.: manage multiple events and projects concurrently, is essential.
- Must be detailed oriented, with excellent analytical, time management, and organizational skills.
- Should be an effective communicator at all levels of an organization and with individuals and groups from different disciplines, industries, and governmental agencies and exhibit exceptional written, oral, and interpersonal communication skills.
- Must have effective personal drive to get work done with minimal oversight.
- Advanced computer knowledge including Microsoft Office Suite including Word, Excel, Access, and PowerPoint, automated document management applications, and the aptitude to continually learn new software or applications is required.
- Learning Management System experience. (preferred)
EDUCATION AND EXPERIENCE
Education, Training and Certifications: Bachelor’s degree or equivalent (will consider high school diploma or GED, and Certificate of Competency in typing, 10-key),
Experience: Three (3) or more years of experience as a Coordinator or similar role.
WORK CONDITIONS
- Job is performed in a typical office environment, but is subject to time pressures and constraints, and is also dependent on input from others.
- Must occasionally lift and move up to 15 pounds.
- Subject to drug and alcohol testing, per applicable federal regulations.
