The Centralized Appointment Scheduler is responsible for scheduling and registering patients for services utilizing the NextGen practice management system. The Central Appointment Scheduler will have interactions with patients and their families, physicians, physician office personnel and others in obtaining and recording the information necessary for effective scheduling and accurate registration while maintaining a focus on customer service and patient confidentiality.
Schedule for this role will be 8:30am-5:00pm (Monday-Friday)
After initial training/orientation onsite, the role has hybrid or remote options available.
Responsibilities
- Communicates and collaborates via phone and email with both internal and external customers in a team environment to ensure effective patient scheduling and registration while maintaining a focus on customer service and patient confidentiality
- Completes registration by verifying patient demographic, insurance and primary care physician information. Utilizes automated eligibility system integrated into scheduling software, and external payer websites when applicable
- Utilizes a robust appointment scheduling software that streamlines the process for appointment scheduling
- Completes new patient intake form using the electronic medical record system to capture all pertinent clinical information for new patient visit
- Advises patient of possible financial obligation, referral, or authorization applicable prior to visit
- Provides general information about the clinic and its services and program
- Assists with administrative assignments related to the centralized appointment office that requires patient outreach to increase template utilization and decrease patient waitlist volume
- Responsible for the accuracy of virtual and onsite scheduling
- Responds to all electronic external appointment requests within a timely manner
- Other duties as assigned.
Qualifications
- Accredited business school or certificate program
- Minimum of 2 year’s experience in a medical office setting
- Knowledge of personal computer and automated registration/scheduling systems
- Knowledge of managed care and insurance requirements
- Strong ability to multi-task while also maintaining professional demeanor
- Demonstrated skills include exceptional customer service, strong organizational and problem solving
