OFFICE MANAGER / RECEPTIONIST
REPORTS TO: Director, Human Resources & Risk Management
PURPOSE:
This Position is responsible for managing the day-to-day operations of an office, including greeting visitors, answering phone calls, scheduling appointments, managing office supplies, maintaining the reception area, and providing administrative support to staff, essentially serving as the primary point of contact for the office while also managing administrative tasks.
ESSENTIAL FUNCTIONS:
Greeting visitors and directing them appropriately.
Answering and directing phone calls.
Maintaining a clean and organized reception area.
Checking in guests and managing visitor logs.
Handling incoming and outgoing mail and packages.
Maintaining office supply inventory and ordering supplies.
Coordinating travel arrangements for staff, including VISAs required for international travel.
Managing office equipment and ensuring proper functionality.
Maintaining filing systems and document management.
Coordinating office events and meetings.
Assisting with onboarding new employees.
Communicating effectively with staff at all levels.
Collaborating with other departments to ensure smooth operations.
Addressing inquiries from clients and vendors.
ADDITONAL SKILLS OR CREDENTIALS:
- High school diploma required.
- 2+ years of experience working in an office setting preferred.
- Excellent communication and interpersonal skills required.
- Strong organizational and time management abilities.
- Proficient in Microsoft Office Suite.
- Detail-oriented with a focus on accuracy.
- Ability to multitask and prioritize tasks effectively.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to walk, use hands to position or move, reach with hands and arms, talk, and hear.
- The employee frequently is required to sit and stand. Sitting for long periods of time.
- The employee must regularly lift and/or move up to 10 lbs., frequently lift and/or move up to 25 lbs. and occasionally lift and/or move up to 40 lbs.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
