Position Summary:
The Accounts Payable Specialist is a member of the Accounts Payable team and responsible for the activities related to the disbursement of cash from the organization. The Accounts Payable Specialist works with their respective team to ensure that all invoices are properly coded and paid in a timely manner. This includes Programs and employees who request funds and/or expense reimbursements and all other outgoing financial transactions. The Accounts Payable Specialist understands that timely completion of tasks, duties, and responsibilities are critical to the Finance function within the organization and thus is the primary job responsibility. The position reports to the Senior Manager, Accounts Payable.
Primary Responsibilities:
- Review invoices and payment requests for disbursement from the organization’s accounts including the following:
- Vendors and Supplier payments
- Consultant payments
- Grants Payments & Program Distributions
- Travel and Employee Claims;
- Administer timely and accurate data entry of AP submissions, including the following:
- Review of documentation for adequacy and accuracy
- Verification of appropriate level of approval authority
- Ensuring proper adherence to policies and procedures;
- Contribute to the maintenance and organization of the Accounts Payable supporting files;
- Maintain the payment log for wires and ACH payments;
- Administrator for Concur expense system;
- Participate in annual Accounts Payable Training;
- Assist onboarding of new staff, providing 1-on-1 training where required;
- Provide exceptional customer service to departments, budget officers, and other staff;
- Provide AP documents for interim and annual audit;
- Ensure that vendor files are accurately maintained to support the annual 1099 filing process;
- Responsible for the effective completion of other duties as assigned.
Qualifications:
- 1-3 years accounting / accounts payable experience required;
- Ability to assess and resolve a wide range of issues in creative ways;
- Intermediate Excel skills (pivot tables, vlookups, filters, etc.) desired;
- General knowledge and/or working experience with financial operations preferred;
- Knowledge of MS Navision and/or Concur expense and vendor management desired; payment processing system experience strongly desired;
- Must be professional and diplomatic at all times;
- Attention to detail and works well under pressure;
- Strong organizational skills and attention to detail;
- An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and work experience listed above.
