Investment firm based in Greenwich, CT is looking to hire a Temp to Perm Administrative Assistant to support the finance and accounting team in their Family Office. The position is hybrid, 3 days onsite and two days remote. 8:30am-5:30pm with flex for OT. The temp duration is 1-3 months before conversion.
RESPONSIBILITIES
- Maintenance and management of calendars utilizing Microsoft Outlook;
- Administrative support in creating, maintaining, and editing documents, spreadsheets and presentations;
- This includes tracking inventory, recording wires and payments, and maintaining organized lists of contacts and business information
- Answer all phone calls in a professional manner, take messages or assist directly when appropriate;
- Coordination of internal and external meetings to include room reservation, equipment set-up, and meeting material preparation (presentations, agendas and any other required documents);
- Process expense reports in Concur ensuring compliance with the Travel & Expense Policy;
- Distribute daily mail to appropriate team members;
- Arrange all travel for executives including flights, hotels, car rentals, and car services through the Amex travel desk;
- Track team PTO and Sick days;
- Ad-hoc assignments as requested.
QUALIFICATIONS
- Strong organizational skills, attention to detail is crucial
- Proficiency in Word, PowerPoint, and Excel
- Excellent research, writing, and communication skills
- Excellent time management, organizational and interpersonal skills;
- Resourceful, well organized, highly dependable, efficient and detail oriented;
- Hands-on problem solver;
- Must be able to handle confidential information with the appropriate level of discretion;
- Ability to work in a team environment;
- Minimum 3 years of senior level admin experience;
- Bachelor's Degree preferred
PAY:
- $65-75K base, temp rate paid in line
- Medical, Dental, Vision, 401K with 50% match up to 6% after one year of employment, PTO: 15 days (1-3 years), 20 days (3+ years), 5 sick days, 9 holidays, gym reimbursement, $15/day for lunch
