The HMC Group has extensive aviation, tourism and accommodation operations in some of the most iconic regions of Australia and is seeking to appoint a Document Management Coordinator.

About the role
As the Document Management Coordinator, you will play a pivotal role in managing our document control processes and promoting the effective use of Web Manuals, our new aviation-specific content and document management system. You will ensure the accuracy, integrity, and security of our documents while driving continuous improvement in our documentation practices. This role requires a proactive individual who can confidently train and support users, write clear procedures, and identify opportunities for process enhancements.
We are committed to maintaining the highest standards in everything we do, and our document management is no exception. In this pivotal new role to the business, you will be at the forefront of implementing and managing document control processes within our organisation, with a specific focus on leading the integration of Web Manuals, our new aviation-specific content and document management system and ensuring its successful adoption across the organisation.
Key Responsibilities:
- Document Control: Lead the implementation of document control processes across the company, ensuring adherence to best practices in accordance with company policies.
- DMS Champion: Manage the rollout and integration of the Web Manuals system, customising it to meet our specific needs whilst promoting its adoption and effective use across the organisation. Act as the go-to expert and advocate for best practices.
- Procedure Writing: Develop, write, and update clear and concise procedures to ensure consistent and efficient document handling and management.
- Process Improvement: Continuously assess and improve document management processes to enhance efficiency, accuracy, and compliance.
- Training & Support: Conduct training sessions and provide ongoing support to users to ensure they are proficient in using the new DMS and understand document control procedures.
- Quality Assurance: Conduct regular audits of documentation to ensure compliance and identify areas for improvement.
- Collaboration: Work closely with various departments to understand their documentation needs and provide tailored solutions.
Qualifications:
- Experience with Web Manuals or other document management systems is highly desirable, but not required.
- Highly tech-savvy, with strong computer literacy and the ability to quickly learn and adapt to new systems.
- Exceptional attention to detail, with a fastidious approach to maintaining accuracy and consistency.
- Strong communication skills, both written and verbal, with the ability to clearly convey information to diverse audiences.
- Personable and approachable, with the ability to work well with colleagues at all levels of the organisation.
- Well organised, with the ability to manage multiple tasks and priorities effectively.
- Confident and effective trainer, capable of engaging and educating users.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficient in Microsoft Office Suite and document management software.
