Key Accountabilities:
- Carry out Tactical and Strategic Sourcing, Quoting, Sustainability, Supplier Management, and Procurement functions in line with the defined processes.
- Create and update NDAs and standard contracts and maintain a central contract database.
- Acquire and submit quotes including renewals.
- Supply reporting and analysis on relevant procurement topics to improve spend and market visibility.
- Set up and carry out queries on Sustainability and Responsible Business towards suppliers.
- Rebates monitoring and coordination.
- Procurement webpage update and content management including creation and upkeeping of customer online and manual catalogues and price books.
- Source products, warranty, and services.
- Implement negotiation strategies.
- Analyze, coordinate, and process supplier requests and relevant information.
- Coordinate with the requestors, sales, and vendors on requirements and details necessary to fulfill transactions.
- Prepare and submit required reports and deliverables.
- Other tasks based on customer requirement (ex. Sustainability-related functions, compliance-related functions, etc.).
Process, Compliance, and Communication:
- Perform business processes across a wide range of complexities.
- Evaluate current processes, recommend, and implement best practices and service improvements, process innovations, and standardizations.
- Regularly review processes and implement continuous improvement.
- Liaise with the business and stakeholders to ascertain their needs and provide excellent customer service.
- Maintain regular contact with the business and stakeholders to promote smooth and timely coordination.
- Respond and resolve various queries and concerns by working collaboratively with the team, vendors, customers, and stakeholders.
- Work with the technical team for any issues or enhancements related to the tool or system.
- Ensure that updated process documentation and flow charts are in place.
- Conduct compliance reviews of processes according to global standards.
- Provide necessary internal and global audit requirements.
- Ensure business continuity at all times.
Data Analysis and Reporting:
- Provide required reports and ensure that effective and timely information is available.
- Present necessary reports and status to the top management, business units, customers, and stakeholders.
- Conduct data analysis and work allocation strategies related to the project.
KPI:
- Monitor output and ensure that transactions are processed within the target timeline and that SLAs/KPIs are achieved.
- Review KPI to ensure effective performance measurement.
- Lead and train junior team members on various processes in line with the scope of work.
- Monitor team status and ensure compliance with company policies and procedures.
Other Related Duties:
- Ensure complete, valid, and proper documentation in all areas of work.
- Ensure that an efficient and updated system is in place.
- Perform other duties relevant to the role as may be directed by the management.
Requirements:
- Minimum of 4-5 years work experience as Subject Matter Expert (SME) in BPO setup under Tactical and Strategic Sourcing and Quoting.
- Excellent communication skills and good interpersonal skills.
- Ability to work effectively as part of a team as well as an individual.
- Fluent in English, both written and verbal is a must; German or Spanish is an advantage.
- Logical approach to complex work problems.
- Good time management skills and work prioritization.
- Good negotiation skills and extensive knowledge of service support standards and practices.
- Well-versed in eSourcing systems, SAP, Ariba, and other ERP Systems.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, etc.).
