Job Title: Administrative Assistant
Work Schedule: Monday to Friday 9:00am to 6:00pm Sydney Time (7:00 AM to 4:00 PM PHT) with 1 hour unpaid lunch
About Us We are a growing security technology company seeking an Administrative Assistant to streamline our operations and enhance customer service. You'll utilize cutting-edge software to manage administrative tasks, support sales processes, and contribute to the business’s transformation.
Job Overview As the Administrative Assistant, you'll optimize our use of Simpro software, manage customer communications, and support the transition from subcontracting to securing larger, direct contracts. This role offers opportunities to grow in a fast-paced, technology-driven environment.
Key Responsibilities
Simpro Management : Optimize job creation, quoting, and invoicing. Assist in transitioning financial processes from MYOB to Simpro.
Customer Service : Handle inquiries via phone, email, and social media. Respond within 4 hours and follow up on leads to improve conversion rates.
Quoting & Invoicing : Process quotes within 72 hours, send invoices promptly, and follow up on late payments.
Financial Support : Assist with profit/loss tracking and transitioning financial processes.
Staff Coordination : Manage staff schedules and job assignments. Coordinate with subcontractors as needed.
Compliance & Documentation : Monitor insurance, vehicle registrations, and maintain compliance records.
Marketing Support : Assist with content creation for LinkedIn and update marketing materials.
Project Management : Support management of larger contracts, ensuring project milestones are met.
Process Improvement : Document SOPs and suggest process enhancements.
Requirements
Essential Skills :
Proficiency in Simpro or ability to learn new software
Experience with MYOB and transitioning financial processes
Strong communication, organizational, and time management skills
Experience in customer service and administration
Desirable Skills :
Knowledge of security or construction industry terminology
Familiarity with social media management and content creation
Experience with Ground Plans or similar software
Knowledge of Australian business regulations
Project management skills or certifications
