This role encompasses a variety of key responsibilities and essential skills, including:
Executive Support: Provide comprehensive secretarial and administrative assistance to ensure smooth day-to-day operations.
Diary Management: Manage the GM’s busy schedule, coordinating meetings and appointments across multiple time zones using MS Outlook.
Communication Management: Handle incoming calls, emails, and correspondence, prioritising and organising communications efficiently.
Document Preparation: Draft and manage correspondence, reports, and guest concerns with accuracy and attention to detail.
Presentation Development: Design impactful PowerPoint presentations for meetings and events.
Travel Coordination: Arrange travel plans and hotel bookings, ensuring seamless itineraries.
Event Planning: Organise corporate hospitality events, ensuring high standards of service.
Data and Records Management: Maintain critical data, including Excel spreadsheets and attendance records, accurately.
Financial Administration: Process invoices and ensure compliance with financial processes.
Filing and Archiving: Develop and maintain well-organized filing systems.
Regional Support: Manage follow-ups and liaise with various departments on regional projects.
Social Media Engagement: Enhance the GM’s presence on social media platforms professionally.
Time Zone Coordination: Adapt to global demands, managing tasks across varying time zones.
HR Coordination: Assist with onboarding new starters and support the GM’s team in collaboration with HR.
Mentoring and Training: Guide and share skills to others where needed.
The ideal candidate will possess proven experience as a Personal or Executive Assistant, preferably in hospitality, along with the ability to handle sensitive information with discretion. Strong interpersonal skills are essential for building positive relationships, and experience collaborating on projects with various departments is beneficial.
Technical proficiency in Microsoft Office, especially Outlook, Word, Excel, and PowerPoint, is crucial, as is a flexible approach to managing changing priorities across hotel and regional operations.
A proactive, self-motivated individual with excellent time management and organisational skills will thrive in this role, enhancing the GM’s presence on social media and contributing to overall operational success.
