Job Description: We are looking for an organized and proactive Administrative Assistant to support our team. Your role will be crucial in ensuring the smooth operation of our office and assisting with various administrative tasks.
Responsibilities:
- Answering and Directing Phone Calls: Handling incoming calls, taking messages, and directing calls to the appropriate person or department.
- Greeting and Assisting Visitors: Welcoming visitors, providing information, and directing them to the relevant personnel or area.
- Managing Calendars and Schedules: Scheduling appointments, meetings, and events for staff members and maintaining calendars.
- Handling Correspondence: Sorting and distributing incoming mail and emails, drafting responses, and composing routine correspondence.
- Data Entry and Record-Keeping: Entering data into databases, maintaining records, and ensuring accuracy and confidentiality of information.
- Filing and Organizing Documents: Organizing and maintaining physical and electronic files, including confidential and sensitive information.
- Ordering and Maintaining Office Supplies: Monitoring inventory, ordering supplies, and ensuring adequate stock levels.
- Assisting with Travel Arrangements: Making travel arrangements, including booking flights, accommodations, and transportation.
- Coordinating Meetings and Events: Assisting in the planning and coordination of meetings, conferences, and special events.
- Providing Administrative Support: Assisting with various administrative tasks, such as photocopying, faxing, and scanning documents.
- Managing Office Equipment: Ensuring that office equipment is maintained, serviced, and in working order.
- Handling Petty Cash: Managing petty cash funds and processing reimbursements for expenses.
- Collaborating with Other Departments: Working closely with other departments to coordinate tasks and support organizational goals.
- Adhering to Policies and Procedures: Following company policies and procedures, including those related to confidentiality and data security.
Requirements
- Bachelor’s degree in Business Administration or related field
- Proven experience as an Administrative Assistant or Secretary
- Proficiency in MS Office
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills especially with other nationalities
