This is a standalone position, where you will need to hit the ground running. You will report directly to our Head of HR, and will be joining a small, growing team. Prior experience within a HR support function is a necessity, you must be well-versed in compliance regulations and low-level legal requirements.
This is a varied and diverse role, core responsibilities include low-level ER support, onboarding, offboarding, record management and maintenance. Our ideal candidate is extremely organised, well versed in logistics management and co-ordinating. They have a great eye for detail, are comfortable working independently and have excellent communication skills.
Seeking an experienced HR Co-ordinator, with a strong focus on administration, ideally qualified to CIPD L3 to join the Mo-Sys team, working from our London, Greenwich office. This position is full-time, Monday to Friday, with some flexibility on start and finish times, with very occasional home working permitted.
What You’ll Do:
- Provide administrative support and co-ordination across the HR function, ensuring the smooth operation of all HR processes.
- Manage and maintain accurate employee records, ensuring all documentation is up-to-date and compliant with legal requirements.
- Assist with the onboarding process, including preparing new hire paperwork, documentation, conducting orientations, Young Persons Risk Assessments, H&S inductions, scanning passports, and ensuring a seamless integration for new employees.
- Run right to work checks, using systems such as YOTI and GOV, ensuring adherence to immigration laws and local regulations for all new and existing employees.
- Work closely with our 3rd party VISA consultant, ensuring compliance and accurate record management.
- Recording and following dates of employment for interns and contractors, taking appropriate actions to end or extend where appropriate.
- Updating the organisation chart, probationary tracker and retention data to reflect any new starters or leavers, ensuring the relevant line managers are informed.
- Assist with offboarding process, including documenting changes and updating relevant systems, providing information and guidance from an administrative perspective.
- Record employee relations documentation, ensuring processes and procedures are followed and confidentiality is paramount at all times.
- The key point of contact for audit, specifically within the HR and Recruitment functions.
- Occasionally handling invoicing and payroll, utilising systems such as ‘Revolute’, ‘Mo-Sys Sign-in’ application and ‘MyPocketSkills’ for interns, to ensure accurate and timely payment.
- Assist with compliance efforts, ensuring all policies and procedures are up-to-date and communicated effectively to all employees.
- Provide support and guidance on basic employee relations issues, escalating more complex matters to senior HR staff.
- Facilitate employee feedback platforms, including data collection for surveys and focus groups, to inform HR strategies and improve employee engagement.
- Amending contracts of employment, both fixed term and permanent. Sharing those contracts over secure platforms, ensuring compliance is strictly adhered to.
- Co-ordinate internships and apprenticeships; working with local schools, colleges, the council and various charities, completing the relevant paperwork in order to form effective partnerships.
- Occasional involvement in recruitment event planning and training co-ordination.
What We’re Looking For:
- Proven experience in an HR Co-ordinator, HR Administrative, or HR Advisory position.
- Familiarity with employment laws, compliance, HR principles, practices, and procedures.
- Proficiency in administrative and clerical tasks.
- Strong organisational skills and meticulous attention to detail.
- Excellent communication and interpersonal skills, able to quickly build rapport at all levels.
- Ability to handle confidential information with discretion and professionalism.
- Proactive and solutions-oriented, with a can-do attitude and commitment to continuous improvement.
- Ability to prioritise and manage multiple tasks effectively, meeting deadlines in a fast-paced and highly pressurised environment.
- Knowledge of HR software and systems (e.g., HRIS, ATS) desirable.
- Experience managing employee benefits and payroll desirable.
- Degree in Human Resources, Business Administration, or a related field desirable.
- Ideally qualified to CIPD L3.
Interview Process:
Our interviews are quite informal and conversational, generally carried out over a 3-stage process. To help us learn more about your workplace behaviours and preferences, you will also be invited to complete a short Predictive Index (PI) Behavioural and Cognitive Assessment. Depending on the position, you may also be requested to undertake a technical assessment. The final stage normally involves a visit at the office to meet with senior members of the management team and get a feel for where you will be working.
