We're now recruiting an Executive Assistant based in our London office, to provide a high level of organisational and administrative support for the Managing Director and Senior Management Team. As an Executive Assistant you will be able to anticipate upcoming work demands and plan effectively to ensure our Executives are well supported. You’ll support the Senior Management Team in delivering their objectives across Marketing, Product, Strategic Relationships, PR and Brand and Strategic Planning.
What does the job involve?
- Executive support; booking travel/accommodation, managing diaries, monitoring inboxes and processing expenses.
- Preparation and distribution of senior management meeting packs including for Executive Committee and Board.
- Organise, attend, and take minutes at internal and external meetings and ensure follow up.
- Ensure that executives are prepared ahead of meetings.
- Assist with any research, reports or presentations they are due to submit.
- Support with any actions they have been assigned.
- Assist them in meeting key objectives or other work they have been assigned.
- Manage their time to ensure they are working effectively.
- Where possible, field questions or process smaller pieces of work.
- Supporting senior management in maintaining Senior Management Function handover documents including contracts register and governance documents.
- Collaborate closely with senior management to plan, co-ordinate and deliver events, presentations, and communication activities, ensuring appropriate messages are aligned to business strategy and communicated to key audiences.
- Support London Office Manager with office management duties.
What we're looking for:
- Significant experience of working in similar roles at an executive level.
- Educated to degree level (or equivalent) and has an A*-C in GCSE English and Maths (or equivalent).
- Advanced skills in Office365 (Sharepoint, Excel, PowerPoint in particular), audio typing, electronic diary and email management.
- Experience in project management tools like Trello are desirable.
- An interest in the DIY investing market would be an advantage but not crucial.
- Highly organised while being aware of the wider context, as well as exceptional attention to detail.
- Lateral thinker with ability to 'think on their feet' and to challenge when appropriate.
- Adept at pre-empting and/or resolving issues without unnecessary involvement of the Director.
- Highly diplomatic and discrete with the ability to handle highly sensitive matters.
- Proactive at all times and able to work on own initiative without supervision.
