- Summary of the Position:
The Commercial Property Manager will be responsible for all activities related to his/her specifically assigned commercial properties, including site supervision, visits, personnel issues, tenant relations, renewal activities, overseeing of repairs, replacements and improvements, as well as any and all other tasks, duties and responsibilities required for the satisfactory fulfillment of the position, in accordance with departmental and management needs.
- General Responsibilities:
- Visits sites on a regular basis to review property condition, and ensure tenant compliance with lease and legal requirements.
- Provides suggestions for improving property operations and performance and for correcting potential problems (preventative maintenance).
- Reviews tenant accounts receivable, as well as rent rolls. Responsible for ensuring collection of receivables from tenant and recommending legal action to enforce leases.
- Recommends to Department Manager all charges and credits.
- Shows vacant space and handles all calls for information and appointments.
- Keeps vacancy list current.
- Meets with Department Manager and VP of Commercial Leasing on an as-needed basis to discuss leasing activity and update asking rents.
- Assists the VP of Commercial Leasing with renewals on an as-needed basis
- Implements brokerage commission agreements.
- Handles all defects, service breakdowns and repair conditions at sites, including communication with Tenants. Analyzes conditions to determine appropriate repair or replacement.
- Obtains bids from contractors, supervise and inspect completion of work and review contractor invoices.
- Reviews all matters arising out of Tenant performance obligations, including reviewing plans and permits for build-outs, confirming that they conform to the plans.
- Confirms Tenant insurance for build-out and for lease term.
- Violations: represents the Company in administrative hearings, recommends and supervises all corrective work; obtains bids from contractors and supervise the work.
- Meets bi-weekly with Department Manager to review all property conditions, violation matters and Tenant performance issues.
- Coordinates Tenant accounts and billing, including RE taxes, CPI, water and sewer, with Commercial Billing Manager.
- Supervises all site employees and managers, and schedule them for optimum performance.
- Establishes and maintains proper channels of communication regarding issues of mutual interest with the Residential Department.
III. Hiring Specifications:
- BA or BS degree preferred in Business Administration, Architecture, Real Estate Management, or a related field
- Strong computer skills (Word; Excel; PowerPoint; etc.)
- Excellent general administrative and general management capabilities
- Well-honed communications and tenant relations/customer service skills
- Highly developed organizational and prioritization skills
- Ability to function effectively in a high-pressure, deadline-oriented work environment
