Position Summary
This position is responsible for analyzing and processing a large volume of third-party invoices received by Accounts Payable staff. This includes, but is not limited to, ensuring accuracy of data entered into Accounting system, scheduling payment dates and the generation of checks. Other duties include providing exceptional customer service to both internal and external clients along with generating reports, handling vendor inquiries, and various other functions within the AP department.
Essential Functions
- Accurate review of invoices to ensure compliance with the Firm’s Policies and Procedures:
- Verify all data from invoice transferred properly to check request.
- Examine charge codes – cost center and/or client/matter numbers.
- Ensure proper approvals are met by appropriate party.
- Review and notate sales and use tax information.
- Process invoices creating vouchers in AP system.
- Forecast payments to comply with firm’s payment terms.
- Generate and review check previews to project accurate check processing.
- Address daily inquiries from vendors and internal clients with professionalism and good customer service skills.
- Assist with other functions within the Accounts Payable department, as needed.
- Provide backup documentation when requested for disbursements.
- Proficiency in working with business applications including Excel, Word, and Digital File.

Requirements
Education: Degree in Accounting or related field preferred.
Experience: Minimum of 2 years dedicated Accounts Payable experience preferred. Knowledge of W-9s and 1099 processing valuable. Knowledge of full cycle accounts payable is preferred. Previous law firm or professional services environment experience beneficial.
Skills: Able to work in a fast-paced environment with minimal errors. Must have proficiency in MS Office Suite, including Excel and Access. Requires ability to manage a large volume of work and data entry. Intermediate understanding of database concepts and experience with Elite or similar database a plus. Ability to work independently and implement systems for recordkeeping. Excellent communication skills and the ability to work with all organizational levels. Neatness, accuracy and attention to detail are essential.

Equipment To Be Used: Personal computer and other office equipment such as telephone, calculator, fax, machine, copier, scanner, etc.
Typical Physical Demands: Manual dexterity sufficient to operate standard office equipment.
Typical Mental Demands: Able to work effectively in a fast paced environment. Make judgment decisions and adapt to changing work situations. Grasp and apply new ideas. Communicate with various personalities at all levels.
Working Conditions: You will be required to work in the office a minimum of 2 days per week. The details of your weekly schedule will be discussed further with your direct supervisor. Occasionally called upon to work hours in excess of your normal daily schedule.
Pay Ranges: This represents the presently-anticipated low and high end of Reed Smith’s pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience.
