Job Overview:
The Head of Contract Execution will be responsible for overseeing the entire contract lifecycle, ensuring efficient and compliant execution of all contractual agreements by local and foreign execution teams. The position plays a critical role in safeguarding the company’s interests by ensuring that vendors and suppliers perform per contractual terms and eliminating unnecessary costs involved in logistics operations (e.g., demurrage, detention, etc).
Duties and Responsibilities:
- Ensure that all local and foreign contract execution teams align with procurement’s established purchase strategy.
- Guide the foreign execution team to:
- Be compliant with government policies of BAI, BPI, BIR, and BOC relating to importation of goods.
- Secure all documentary requirements for importation and bank payments.
- Timely release imported cargoes and avoid unnecessary charges (e.g., storage fees, demurrage, and detention charges).
- Periodically update and submit import monitoring reports with projected costs including demurrage, detention, storage, insurance, fumigation, etc., for all imported materials nationwide.
- Provide updates on shipment status and delays to buyers and the Procurement Director.
- Provide updated rates for landed cost estimation of imported materials.
- Collaborate with the Senior Buyer on establishing a monthly delivery plan to be shared with cross-functional departments for proper planning and execution.
- Guide the local execution team to:
- Communicate delivery schedules to respective suppliers based on agreed delivery lead times with proper documentation.
- Provide weekly updated delivery plans to internal cross-functional departments for alignment in supply availability vs. warehouse space availability.
- Review, assess, and optimize execution plans that align with established safety stock targets.
- Manage and/or escalate to stakeholders to address challenges on supply and prevent the risk of production stoppage.
- Continuously improve and streamline execution plans to reduce unnecessary costs.
- Periodically monitor and review suppliers’ delivery performance and report to the Procurement Director.
- Monitor, review, and reconcile outturn guarantees of 3rd party service providers ensuring compliance with contractual agreements.
- Develop and manage a network of service providers related to freight charters and cargo handlers.
- Manage relationships with suppliers’ logistics and/or operations teams.
- Manage relationships with 3rd party service providers (e.g., brokers, cargo handlers, forwarders).
- Collaborate with the Senior Buyer and Procurement Director on weekly stock inventory and open positions for all locations.
- Approve requests for payments and cash advances for 3rd party service providers for penalty amounts not exceeding ____________________.
- Provide monthly summary reports on:
- Containerized shipment penalty charges (e.g., storage, demurrage, detention, etc.)
- Insurance claims monitoring.
- Cargo handling penalty charges (e.g., storage charges).
Qualifications and Attributes:
- Skills:
- Self-driven team player with strong communication and interpersonal skills (collaboration across locations and functions; coordination with external and internal stakeholders).
- Fluent in English.
- Preferably knowledgeable in ERP.
- Advanced knowledge of software applications (e.g., MS Office, Outlook, Teams).

- Qualifications:
- Minimum 5 years experience in Importation, Freight, and Distribution, preferably in the agri-business or trade industry.

Job Requirements:
- Works at Cebu Main Office Monday to Friday 8:00 am – 5:00 pm. May require extended work time for urgent execution matters.
- Visit ADM facilities, suppliers, and 3rd party service providers as agreed and approved by the Procurement Director.
